Who handles your information
Monarda Mediations Pty Ltd operates Subtext and is the data controller responsible for how your information is used. Contact us through the contact form at monardamediations.com.au for privacy questions or requests. This notice should be read with your applicable Australian privacy rights.
What we collect and why
We process account names, email addresses and authentication information to provide secure accounts; profile photos, children’s details, messages, schedules, routines, documents and board uploads to provide family features; quiz answers, translations and Compass questions to provide private reflections and AI assistance; and device identifiers, notification permissions and settings to deliver requested reminders. IP addresses, access logs and limited operational telemetry help protect the service and investigate faults. We do not require unnecessary identifying details in AI support questions.
Where a legal basis is required, we rely on performing our service agreement, consent for optional features, legitimate interests in security and service operation, and compliance with applicable legal obligations. Sensitive information and children’s information require appropriate authority and consent under applicable law.
Who can see family records
Linked parents can access shared family records. Reflections, translations and Compass histories belong to the account that created them. Cross-parent quiz comparisons require both parents’ consent. Parent–child chats and boards are separate per pair, not shared automatically with the other parent. Either parent can manage and restore child device access, so these spaces cannot guarantee secrecy from access managers. Drawing and chess are family-shared. Unlinked families retain read-only past records.
AI, calls and notifications
Content submitted for AI assistance is processed by service providers to deliver the requested feature. We do not use family messages to train AI without explicit consent. AI may make mistakes; moderation cannot guarantee safety. Calls are not recorded in this app. Consent-based call reminders process only temporary participant-local audio segments after both participants explicitly agree; this app does not persist those audio segments or transcripts. Notification previews should avoid sensitive family content, particularly on shared devices.
Sharing and overseas processing
We share the minimum necessary information with hosting, authentication, storage, AI, notification and support service providers, including Lovable Cloud and the providers used for requested features. Paddle receives information needed for selling subscriptions, payment processing, subscription management, tax compliance and invoicing. We may also share information with professional legal/accounting advisers and authorities when legally required. Providers may process information outside Australia. We use access controls and contractual safeguards, and you can contact us for further information.
Retention and security
Account and family records are retained while needed to provide the service, preserve requested shared history, resolve disputes and meet legal obligations. When no longer needed, information will be deleted or anonymised, subject to legal requirements and other family members’ rights in shared records. Contact us to request access, correction or deletion; unlinking alone does not delete records. We use appropriate technical and organisational measures including encryption in transit, restricted access, private storage and account-scoped permissions. No online service can promise absolute security.
Service providers we use
- Lovable Cloud — hosting, sign-in, database and private file storage.
- Lovable AI Gateway and the AI model providers it routes to — only for Tone Translator, message review and Compass requests you make.
- Google Firebase Cloud Messaging — delivers generic alerts (“You have a new notification”) to devices you register; message content is not sent.
- Paddle — subscriptions, payments, tax and invoicing.
Some providers process information outside Australia, including in the United States. Location of processing, and the safeguards applied, are being confirmed with each provider.
Downloads, corrections and deletion
In Settings you can download the records you created and send a correction, access or deletion request. Requests are reviewed by a person; nothing is deleted automatically. Where records are shared with a co-parent, concern a child, or must be kept for legal reasons (for example a legal hold or a court order), they may be kept read-only, and we will explain what was kept and why. Your requests are not shown to your co-parent.
This notice is a draft awaiting review by a qualified Australian privacy and family-law adviser. It is not a statement of compliance certification.
Your choices and cookies
Essential cookies and browser storage support sign-in, child-device access and local preferences. Optional browser notifications need permission and can be disabled in site settings. We do not use these essential stores for advertising tracking. You may request access or correction, withdraw optional consent, raise a privacy complaint and request deletion where applicable. Australian users can contact the Office of the Australian Information Commissioner if a privacy concern is not resolved. We do not represent withdrawal as removing records that another parent is legally entitled to retain.
